Blog/Top Mistakes First Time Importers: On-the-ground supplier verification and factory meeting in India

We've worked with hundreds of importers over the years, and the same mistakes keep appearing. Here are the ten we see most often β€” and how to avoid them.

1. Choosing Based on Price Alone

The cheapest supplier is rarely the best value. Low prices often mean inferior materials, poor workmanship, skipped quality checks, or hidden costs that appear later.

2. Not Ordering Samples

This is the most preventable mistake. A sample might cost $50-200, but it can save you from a $10,000+ disaster. Always order and physically inspect samples before committing to a production order.

3. Paying 100% Upfront

Standard practice is 30% advance, 70% against shipping documents. If a supplier insists on 100% upfront, that's a red flag.

4. Vague Product Specifications

If you don't specify dimensions, materials, colours, finishes, packaging, and quality standards clearly in writing, you'll get whatever the factory decides to send. Be extremely specific.

5. Skipping Quality Inspection

Even with a good supplier, quality can vary between batches. A pre-shipment inspection catches problems before they leave India β€” once the container is loaded, your options are limited.

6. Ignoring Packing Quality

Products can survive the factory floor but get destroyed during ocean transit. Proper packing β€” with foam, corner protectors, reinforced cartons, and palletisation β€” is critical, especially for furniture and fragile items.

7. Not Understanding Shipping Terms

FOB, CIF, EXW, DDP β€” these acronyms determine who pays for what and who's responsible at each stage. Make sure you understand your shipping terms before agreeing to a price.

8. No Written Agreement

Always have a purchase order or sales contract that specifies: product details, quantities, price, payment terms, delivery timeline, packing requirements, and dispute resolution process.

9. Expecting European or American Business Speed

Indian business operates at a different pace. Production timelines are generally longer, communication can be slower, and flexibility on urgency is limited. Plan accordingly.

10. Not Building Relationships

Treating suppliers as interchangeable commodities leads to mediocre results. The best outcomes come from long-term partnerships where the supplier knows your standards, anticipates your needs, and actively looks out for your interests.
