Blog/Photo Documentation What Good Inspection: On-site ANSI AQL 2.5 quality control inspection in India

An inspection report is only as good as its documentation. Here's what separates a thorough, useful report from a superficial one that gives you false confidence.

Essential Photos

A good inspection report should include: photos of the factory and production area, photos of products being checked (measured with tape/ruler visible), close-ups of any defects found, photos of packing process, photos of labelled cartons, photos of the container during loading, and photos of the sealed container with seal number.

What Good Documentation Looks Like

Each finding should reference a specific photo. Measurements should show the measuring tool in the photo. Defects should be clearly visible and categorized (critical, major, minor). The report should include the inspector's name, date, and a summary of results.

Red Flags in Inspection Reports

  • Generic photos that don't clearly show the inspected products
  • No measurement photos
  • Vague descriptions like 'quality is good' without specific criteria
  • Inconsistent findings (e.g., 'pass' result with multiple major defects noted)
  • No photos of the packing or container loading

How to Use Reports

Review reports immediately. Use them to negotiate with suppliers if issues are found. Archive them for future reference β€” patterns in inspection reports over time reveal whether a supplier's quality is improving or declining.
